About the Client: Our client is a is a Dubai-based Google Ads agency managing nine figures of annual ad spend across 180+ ecommerce clients. We are looking for a highly capable Executive Assistant to support the CEO directly and act as a long-term operational right hand. This role is ideal for someone who thrives in fast-moving environments, can manage complex priorities across time zones, and knows how to keep a founder sharp, prepared, and focused. This is not a traditional 9-to-5 role, and it is not a stepping stone. The agency’s integrator owns the team and systems. This role owns executive support for the CEO. Key Responsibilities Calendar and Inbox Management • Own the CEO’s calendar across Dubai, European, and US time zones. • Triage the CEO’s inbox daily, respond on behalf of the CEO where appropriate, flag what requires attention, and remove what does not. • Build buffer time, prep time, and travel time into the CEO’s schedule. • Send meeting invites with agendas and prep documents attached. • Confirm meetings 24 hours in advance and productively reschedule cancellations. Responsibilities Calendar, Inbox, and Meetings • Manage the CEO’s calendar across Dubai, European, and US time zones. • Triage the CEO’s inbox, respond where appropriate, and flag what needs attention. • Add buffer time, prep time, and travel time to the CEO’s schedule. • Send meeting invites with agendas and prep documents. • Prepare meeting briefs, research attendees, take notes, capture action items, and manage follow-ups. Communication and Gatekeeping • Draft emails, Slack messages, and short documents in the CEO’s voice. • Manage outbound communication when the CEO is offline or traveling. • Act as the first point of contact for external parties. • Politely decline or redirect requests that do not require the CEO’s time. • Coordinate with senior team members, the integrator, Google reps, clients, partners, and EAs. Travel, Events, and Logistics • Plan and book business travel, including flights, hotels, drivers, transfers, and multi-stop itineraries. • Maintain the CEO’s travel preferences and build backup plans when needed. • Coordinate team offsites, client dinners, agency events, conferences, and speaking engagements. Client Onboarding and Internal Support • Support new client onboarding by scheduling kickoff calls, sending contracts, setting up Slack channels, and booking recurring strategy sessions. • Coordinate with the integrator on systems and SOPs. • Support recruitment coordination, interview scheduling, offers, and early-stage onboarding when needed. Content and Document Management • Ensure the CEO’s daily LinkedIn content goes live on time. • Support content production logistics, including B-roll planning, venue sourcing, shoot locations, and styling coordination. • Maintain key files, contracts, reference documents, decks, briefs, and project trackers. • 5+ years of experience as an Executive Assistant, ideally supporting a founder, family office principal, or C-suite executive at a fast-moving company. • Native or near-native English written communication. • Ability to draft client follow-ups, board updates, Slack messages, and short documents in the CEO’s voice. • Ability to turn a 90-minute meeting into five clear action items. • Strong fluency with Slack, Gmail, ClickUp, Calendly, Notion, and modern AI tools such as Claude and Gemini. • Ability to think one step ahead without overstepping. • Calm under pressure and able to manage competing priorities. • Strong judgment, discretion, and trustworthiness. • Ability to politely tell a senior client that the CEO is not available while making them feel handled. • Ability to politely flag conflicts, priorities, and commitments to the CEO. • Competitive salary. • Ability to work remotely.
