Job description

We are seeking a highly organized and detail-oriented Legal Administrative Assistant / Case Management Coordinator to support our legal operations team. The ideal candidate has experience handling legal documents, court filing procedures, CRM management, and deadline tracking. Experience with the Florida Courts E-Filing Portal , Google Workspace , and Insightly CRM is strongly preferred. Schedule: Full-Time, 9:00 AM – 5:00 PM EST Language Requirement: Excellent written and spoken English Responsibilities • File legal documents through the Florida Courts E-Filing Portal. • Review, organize, and save emailed, scanned, and faxed documents into designated Google Drive folders. • Create and maintain projects, contacts, and case-related records in Insightly CRM. • Extract critical information from court documents and correspondence. • Track and enter court hearings, filing deadlines, response deadlines, and other important dates into Google Calendar. • Maintain accurate digital records and document management systems. • Monitor incoming emails and ensure all documents are properly categorized and stored. • Coordinate with attorneys, clients, and internal team members as needed. • Ensure all case information is updated and accurate across systems. Requirements • Previous experience in a legal administrative, legal assistant, paralegal, or case management role. • Hands-on experience with the Florida Courts E-Filing Portal (required or strongly preferred). • Experience using Google Drive, Google Calendar, Gmail, and Google Workspace. • Experience with CRM systems, preferably Insightly. • Strong document management and data entry skills. • Ability to identify and track legal deadlines accurately. • Excellent attention to detail and organizational skills. • Strong written and verbal English communication skills. • Ability to work independently and manage multiple tasks simultaneously. Preferred Qualifications • Experience supporting law firms, probate, trust administration, estate planning, or litigation practices. • Familiarity with court procedures and legal documentation. • Experience processing scanned, emailed, and faxed legal records. • Knowledge of deadline and docket management.
