About Modern Amenities and VendHub Modern Amenities is building VendHub, a SaaS platform and marketplace for vending operators, suppliers, equipment partners, and workplace amenities businesses. VendHub is becoming the operating layer for operators to manage products, equipment, supplier relationships, transactions, marketplace access, and business growth. We are hiring a highly organized, technically comfortable, detail-oriented Product Operations Associate to support the day-to-day execution of VendHub. Role Overview The Product Operations Associate will work directly under the Head of Technology to support product execution, marketplace operations, supplier data management, user feedback collection, QA testing, documentation, and internal coordination. This is not a senior product strategy role and not a technology decision-making role. The associate will not own the roadmap, architecture, engineering management, or final prioritization decisions. Instead, this person will own the operational details that make the product and technology function run cleanly. The right person will make sure product work is organized, requirements are clear, tickets are complete, QA is documented, supplier data is accurate, user feedback is captured, and execution does not slow down because of missing details. Key Responsibilities Product Execution Support • Support the Head of Technology by converting business requests, user feedback, and internal priorities into clear tickets, summaries, acceptance criteria, QA notes, and follow-up items. • Maintain product trackers, ticket boards, implementation notes, and status updates. • Identify missing requirements, unclear requests, incomplete data, and unresolved dependencies. • Prepare organized product inputs so the Head of Technology can make better prioritization and technical decisions. • Track open product items and ensure owners, due dates, blockers, and next steps are clear. QA and Release Support • Test new features before release, including checkout flows, marketplace listings, dashboards, reporting tools, onboarding flows, entitlement logic, supplier workflows, user permissions, and customer-facing platform changes. • Create and maintain QA checklists for major product areas. • Document bugs clearly with screenshots, recordings, steps to reproduce, affected users, expected behavior, and actual behavior. • Coordinate with engineering or the Head of Technology until bugs are resolved or properly prioritized. • Confirm that released features match the approved requirements. Marketplace and Supplier Operations • Maintain accurate supplier, product, equipment, pricing, rebate, and marketplace listing data inside VendHub. • Coordinate with internal stakeholders and external suppliers to collect required product information, including model numbers, categories, pricing, MSRP, product images, brochures, specs, financing details, shipping requirements, and attribution rules. • Help ensure VendHub product listings are complete, accurate, and commercially usable before launch. • Support supplier onboarding workflows and make sure required information does not sit incomplete. • Flag issues that require business, pricing, technical, or strategic decisions to the Head of Technology. Platform Data and Reporting Support • Assist in maintaining clean platform data across users, operators, suppliers, equipment, transactions, subscriptions, and marketplace activity. • Support reporting needs for product adoption, user activation, marketplace GMV, equipment orders, supplier performance, attribution, and feature usage. • Help create and maintain basic internal dashboards, exports, and recurring reports. • Identify data quality issues and escalate them before they become reporting or operational problems. User Feedback and Internal Coordination • Collect, organize, and summarize feedback from operators, suppliers, sales, customer success, leadership, and internal users. • Distinguish between bugs, feature requests, training issues, data issues, and one-off requests. • Work with Customer Success and Support to identify platform friction, onboarding issues, missing documentation, or recurring user confusion. • Maintain internal documentation, product notes, process guides, release notes, and support handoff materials. Process Hygiene • Keep development tickets, product trackers, supplier checklists, QA logs, and implementation notes current. • Ensure product-related information does not live only in Slack, email, or verbal conversations. • Follow up consistently on open items. • Create structure around messy product and operational details. What This Role Owns The Product Operations Associate owns: • Ticket hygiene • QA checklists • Bug documentation • Product trackers • Supplier data collection • Marketplace listing completeness • Product documentation • User feedback organization • Basic product reporting support • Follow-up on open operational details • Internal coordination around execution What This Role Does Not Own The Product Operations Associate does not own: • Product roadmap • Technology strategy • Technical architecture • Engineering management • Final prioritization decisions • Build-vs-buy decisions • Vendor/tool selection for technology architecture • Major product tradeoff decisions • Final release approval for major platform changes Those decisions belong to the Head of Technology. Required Qualifications • 1-3 years of experience in product operations, operations, project coordination, customer success operations, SaaS support, marketplace operations, business operations, QA coordination, or a similar role. • Strong written communication skills and ability to turn messy requests into clear summaries, requirements, and action items. • High attention to detail, especially around data accuracy, pricing, product listings, user records, and implementation notes. • Comfort working with SaaS products, admin tools, spreadsheets, ticketing systems, and internal dashboards. • Ability to test software workflows carefully and document bugs clearly. • Strong organizational discipline. This role requires tracking many small moving pieces without letting them disappear. • Comfort working cross-functionally with product, engineering, customer success, sales, finance, and external partners. Preferred Qualifications • Experience supporting a marketplace, SaaS platform, e-commerce platform, fintech/payment workflow, or supplier/vendor onboarding process. • Experience with tools such as Asana, Jira, Linear, Airtable, HubSpot, Slack, Google Sheets, Stripe, Intercom, Notion, or similar systems. • Basic familiarity with APIs, integrations, payment flows, user permissions, product entitlements, or data mapping. • Experience in vending, unattended retail, micro-markets, CPG, equipment sales, or B2B marketplaces is a plus but not required. Ideal Candidate Profile The ideal candidate is organized, skeptical, and execution-oriented. They do not need to be a senior product manager or engineer, but they need to think clearly, ask precise questions, and prevent operational details from slipping. They should be comfortable saying: "This requirement is unclear." "This data does not tie out." "This ticket is missing acceptance criteria." "This feature is not ready to release." "This needs a decision from the Head of Technology." This person should make the VendHub team faster, not create more management overhead. Non-Negotiables Must be detail-oriented. Must be able to write clearly. Must be comfortable with ambiguity but not passive inside it. Must follow through without needing constant reminders. Must be willing to work in spreadsheets, admin tools, support tickets, product trackers, and QA environments. Must have enough technical curiosity to understand how software workflows break, even if they are not an engineer. Must understand that their role is execution support, not roadmap ownership.
