Job description

Location: Permanent work from home. **Needs to be onsite in Metro Manila, 2 times a year for meetings/company functions. Working Hours / Job Type: Monday to Friday, 9:00 AM to 6:00 PM Central Time (10:00 PM to 7:00 AM Philippine Time), with 8 core working hours inclusive of a 1-hour break. Services include managed IT, cybersecurity, IT consulting, and hardware/software procurement. As part of their continued growth and expansion, the company is strengthening its presence in the Philippines and is seeking a highly motivated, detail-oriented, and proactive Procurement & Sales Coordinator to join their dynamic team. This role offers an excellent opportunity to contribute to a fast-growing organization by supporting procurement activities, coordinating sales operations, and ensuring seamless service delivery to customers. Overall purpose and responsibilities of the role: As a Procurement & Sales Coordinator , you will primarily support existing customers by coordinating technology-related requirements, obtaining supplier quotations, sourcing products, and assisting in the delivery of solutions. The successful candidate will work closely with both technical and commercial teams to ensure a seamless, professional, and customer-focused experience while maintaining strong relationships with customers, suppliers, and internal stakeholders. Duties and Responsibilities: · Manage and respond to inbound enquiries and requests from existing customers · Prepare accurate quotations for technology products, software, licensing, and related solutions · Source products and coordinate with suppliers, distributors, and vendors to obtain pricing, availability, and lead-time information · Liaise with engineers and technical teams to ensure customer requirements are clearly understood and accurately documented · Assist in the preparation of proposals, solution recommendations, and supporting documentation · Follow up on customer enquiries, quotations, and orders, providing timely updates throughout the process · Maintain accurate records of quotations, orders, supplier communications, and customer interactions within company systems · Coordinate the flow of information between customers, suppliers, engineers, and internal stakeholders to ensure efficient service delivery · Provide administrative and operational support to the sales and technical teams · Help ensure a seamless and professional customer experience throughout the quotation, procurement, order fulfilment, and post-sales support process Must-have Skills / Qualification: · At least 2 to 5 years of experience in a similar Procurement Coordinator, Sales Support, Sales Coordinator, Account Coordinator, or Customer Support role · Excellent written and verbal English communication skills · Strong customer service and relationship management abilities · Highly organized with exceptional attention to detail · Proven ability to manage multiple tasks, priorities, and stakeholders simultaneously · Strong administrative, coordination, and follow-up skills · Proficiency in Microsoft Office applications, particularly Outlook, Excel, Word, and PowerPoint · Ability to quickly learn and understand technical products, services, and industry terminology · Comfortable working with international customers, suppliers, and remote teams · Experience using quoting tools, CRM systems, and business software such as Salesforce and QuickBooks Advantageous Experience/Skills: · Experience working for an IT distributor, reseller, managed services provider (MSP), systems integrator, technology vendor, or similar technology-focused organization · Experience in procurement, quotation management, inside sales, sales support, account coordination, customer service, or order management · Familiarity with common business technology products and services, including: o Desktop and laptop hardware o Servers and storage solutions o Networking equipment o Software and licensing o Microsoft 365 and related productivity solutions · Ability to understand customer technology requirements and coordinate appropriate solutions with minimal technical guidance from engineering teams
