Executive Operations Coordinator Company: Seamless Assist Location: Remote | PST Schedule Employment Type: Full-Time Role Overview Seamless Assist is seeking a highly organized Executive Operations Coordinator to support executive productivity and day-to-day operations in a fast-paced remote environment. This role focuses on calendar management, communication, operational coordination, and structured workflow support , while leveraging AI tools to improve efficiency . Candidates must be available during PST–EST business hours and have B2+ English proficiency . Key Responsibilities • Manage executive calendars, scheduling, and meeting coordination across time zones • Organize and prioritize executive inbox communications • Draft professional emails, reports, and documentation • Track deadlines, tasks, and follow-ups for leadership • Prepare meeting agendas, notes, and action items • Maintain organized digital filing and documentation systems • Support cross-functional communication and operational coordination • Conduct research and compile information for executive decision-making • Use AI tools (ChatGPT or similar) to assist with drafting, summarizing, and workflow organization Requirements • 1–3 years experience in executive support, administrative, or operations coordination roles • Availability during PST–EST business hours • B2+ English proficiency • Strong organizational and multitasking skills • Proficiency with Google Workspace or Microsoft Office • Ability to work independently with minimal supervision • High level of professionalism and discretion
