We are seeking a sharp, resourceful, and highly organized Virtual Medical Administrative Assistant to join our growing podiatry scheduling team. In this role, you will act as a vital link between our clinic and our patients, ensuring the provider schedules remain optimized and patient access is seamless. The ideal candidate possesses direct experience working within a podiatry practice and holds a sophisticated understanding of medical health insurance. You must be completely confident navigating the nuances of In-Network vs. Out-of-Network benefits , ensuring that patients are accurately informed of their coverage before stepping foot into the clinic. Core Responsibilities: Strategic Scheduling & Patient Coordination • Appointment Management: Efficiently coordinate, book, and reschedule specialized podiatry appointments within the ModMed (EMA) platform. • Appointment Confirmations: Conduct systematic outbound outreach campaigns via phone and secure messaging to confirm upcoming appointments, reducing no-show rates. • Lead Conversion: Proactively call prospective patient leads who have inquired about clinic services, answering their baseline questions and successfully converting them into scheduled patients. Insurance Verification & Benefit Allocation • Coverage Verification: Perform detailed real-time eligibility checks using payer web portals or phone inquiries. • Network Navigation: Critically evaluate and document patient benefits, distinguishing clearly between In-Network and Out-of-Network allowances, copays, deductibles, and coinsurance. • Financial Accountability: Accurately update financial and insurance data fields within patient charts to eliminate downstream billing rejections. Administrative Support & Technology Workflow • Digital Communication: Monitor and organize high-volume clinic correspondence via Microsoft Outlook and sync internally with the team using Microsoft Teams . • Data Tracking: Utilize Excel / Google Sheets and Word / Google Docs to track scheduling metrics, lead outcomes, or administrative documentation. • Demographic Intake: Maintain flawless accuracy when inputting personal data, physician referrals, and intake packets into patient accounts. • Specialty Experience: Minimum 1–2 years of medical administration experience specifically within a Podiatry clinic or a closely related surgical/orthopedic specialty. • EMR Mastery: Hands-on, proficient working experience utilizing Modernizing Medicine (ModMed / EMA) . • Insurance Expertise: Deep fundamental knowledge of health insurance workflows, specifically featuring a strong, verifiable comfort level with In-Network and Out-of-Network benefit structures . • Technical Agility: Advanced proficiency in Microsoft Office (Word, Excel, Outlook, Teams) or Google Workspace applications. • Communication Excellence: Outstanding verbal and written English communication skills, marked by a warm, authoritative, and professional phone presence. • Remote Infrastructure: A completely quiet, private workspace that aligns with HIPAA privacy guidelines, paired with a reliable high-speed internet connection and functional headset.
