Accountabilities:
As a Senior HR Administrative Assistant, you will support HR operations and leadership activities by maintaining accurate records, coordinating administrative processes, and ensuring day-to-day priorities are handled effectively. You will act as a reliable partner for internal teams while improving organizational efficiency.
• Maintain accurate employee records, HR documentation, and confidential personnel files.
• Ensure HR documentation remains organized, complete, and ready for audits or compliance reviews.
• Monitor attendance records, review timekeeping information, and resolve discrepancies when needed.
• Support performance management processes and compliance-related documentation.
• Coordinate HR meetings, prepare materials, and track action items and follow-ups.
• Manage executive calendars, scheduling requirements, and travel arrangements.
• Prepare reports, spreadsheets, HR trackers, and administrative documentation.
• Support payroll documentation and other HR-related administrative activities.
• Provide daily administrative support to leadership teams and key stakeholders.
• Track deadlines, follow up on outstanding tasks, and ensure timely completion of deliverables.
• Identify opportunities to improve HR processes, documentation systems, and administrative workflows.
Requirements:
The ideal candidate is a highly organized administrative professional with experience supporting HR functions and leadership teams. You should demonstrate strong attention to detail, discretion, and the ability to manage multiple priorities independently in a remote work environment.
• 3–5+ years of experience in HR administration, executive assistance, office administration, or a similar support role.
• Strong proficiency with Microsoft Office 365 applications.
• Experience working with HRIS platforms and employee management systems.
• Solid document management and records administration skills.
• Excellent organizational, communication, and time management abilities.
• High level of professionalism and ability to handle confidential information.
• Strong attention to detail with excellent follow-through and accountability.
• Ability to work independently while managing competing priorities.
• Experience supporting senior leaders or executives is preferred.
• Experience working with remote or distributed teams is a plus.
• Background in process improvement, administrative coordination, or HR operations is highly valued.
• Availability to work a night shift schedule aligned with EST hours.
