Accountabilities: The Business Operations Specialist is responsible for supporting merchant services operations through data analysis, reconciliation management, process optimization, and cross-functional collaboration. This role requires strong attention to detail, independent problem-solving skills, and the ability to improve operational workflows while maintaining accuracy and compliance. • Lead and perform detailed reconciliations of merchant services activity, including deposits, fees, refunds, and chargebacks. • Analyze transaction trends, investigate discrepancies, and identify root causes using multiple data sources such as processor reports, banking activity, and internal systems. • Manage merchant onboarding processes by ensuring accuracy, completeness, and adherence to operational standards. • Identify opportunities to streamline onboarding workflows and improve overall merchant experience. • Partner with finance, operations, and technology teams to resolve issues and enhance payment-related processes. • Analyze transaction data and prepare insights that support operational decision-making and continuous improvement. • Serve as a subject matter resource for questions related to merchant activity, funding, and account operations. • Evaluate existing workflows and recommend improvements that increase efficiency, scalability, and accuracy. • Create and maintain standard operating procedures, documentation, and operational best practices. • Support strategic initiatives and projects related to payment operations and infrastructure improvements. Requirements: The ideal candidate has experience in payments, merchant services, banking operations, or related fields, with strong analytical abilities and a proactive approach to solving operational challenges. • Bachelor’s degree in business, accounting, finance, or a related field preferred; equivalent professional experience may be considered. • 2–4 years of experience in merchant services, payment operations, banking operations, reconciliations, or a similar field. • Hands-on experience working with payment platforms and merchant processing systems. • Experience performing reconciliations, researching exceptions, and resolving transaction discrepancies. • Knowledge of chargebacks, payment processing, deposits, refunds, POS systems, ERP platforms, or financial systems is a plus. • Strong attention to detail with the ability to maintain accuracy in complex operational processes. • Ability to analyze reports, identify trends, and translate findings into actionable recommendations. • Excellent organizational and time management skills with the ability to manage multiple priorities. • Strong written and verbal communication skills. • Proficiency with Microsoft Excel and Microsoft Office applications. • Ability to work independently while collaborating effectively with cross-functional teams. • Process improvement mindset with adaptability and willingness to learn new systems and workflows. • Understanding of merchant processing, card payments, deposits, refunds, and chargeback processes.
