Job description
We are seeking an experienced and detail-oriented Title Processor / Transaction Coordinator to join our growing Title Operations team. The Processor plays a critical role in moving real estate transactions from file opening to clear-to-close by coordinating title requirements, payoffs, lender conditions, and all necessary documentation.
Responsibilities
• Review title commitments, requirements, and exceptions for accuracy and completeness.
• Identify and resolve title issues, including liens, judgments, ownership discrepancies, and legal description concerns.
• Coordinate and track mortgage and HELOC payoff requests.
• Manage HOA and condominium estoppels, including assessments, fees, and violations.
• Serve as the primary point of contact for lenders, agents, buyers, and sellers throughout the transaction process.
• Monitor loan status, underwriting milestones, and clear-to-close timelines.
• Maintain accurate file information in Qualia, including financials, contacts, and property details.
• Communicate transaction updates and outstanding requirements to all parties.
• Ensure all title, lender, and settlement conditions are satisfied before closing.
• Coordinate file handoff to the closer and support a seamless closing experience.
• Create and manage follow-up tasks to ensure deadlines and requirements are met.
• Previous experience in title, escrow, mortgage processing, or real estate transaction coordination required.
• Experience using Qualia or similar title production software preferred.
• Knowledge of Florida title and real estate closing procedures preferred.
• Strong understanding of title commitments, payoffs, lender requirements, and settlement processes.
• Excellent organizational and time-management skills.
• Strong communication and customer service abilities.
• Ability to prioritize multiple files and meet strict deadlines.
• Proficiency in Microsoft Office and business software applications.
