Job description

Accountabilities: • Provide high-level administrative support to executive leadership, ensuring efficient coordination of calendars, meetings, communications, and daily operational priorities. • Manage training records, qualification documentation, presentations, and other business-critical materials while maintaining organized and compliant records. • Coordinate travel arrangements, expense reporting, purchase requisitions, office supplies, and inventory management to support departmental operations. • Support organizational initiatives such as contract transitions, cross-functional coordination, security clearance processes, and employee scheduling requirements. • Plan and execute meetings, corporate events, and departmental activities, including logistics, vendor coordination, and on-site support when required. • Prepare, edit, and distribute reports, presentations, correspondence, and other business documents with a high level of accuracy and professionalism. • Serve as a central point of contact for internal and external stakeholders, responding to inquiries and facilitating effective communication across teams. • Identify opportunities to improve administrative processes, embrace digital tools including AI-enabled solutions, and maintain strict confidentiality when handling sensitive information. Requirements • High School diploma or GED required; extensive administrative support experience in a professional business environment. • Minimum of 10 years of relevant administrative or executive support experience. • Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint, along with strong computer and internet research skills. • Proven ability to manage multiple priorities, adapt to changing deadlines, and work independently with minimal supervision. • Excellent organizational, problem-solving, and time management skills with exceptional attention to detail. • Strong written and verbal communication skills and the ability to interact professionally with executives, colleagues, vendors, and external partners. • Experience preparing reports, presentations, financial documentation, travel arrangements, and administrative records. • Ability to handle confidential information with discretion and maintain a high level of professionalism. • Comfortable learning and using new technologies, including AI-based tools, to improve efficiency. • Willingness to travel approximately 15% as needed. • U.S. citizenship required with the ability to obtain and maintain a DOE or DOD security clearance.
