Job description

Accountabilities: • Support the timely and accurate processing of participant distributions and loan-related transactions. • Research, investigate, and resolve outstanding issues associated with distribution processing. • Coordinate with trust companies, recordkeepers, and internal departments to ensure participant checks are processed and mailed within required timelines. • Identify trust excesses and ensure they are appropriately invested or resolved in a timely manner. • Review transaction forms and communicate with clients regarding incomplete, inaccurate, or otherwise non-compliant submissions, following up as necessary to obtain the required information. • Identify escalated issues, risks, and concerns and refer them to the appropriate leadership team for resolution. • Provide a consistently high level of customer service while coordinating with internal and external business partners. • Document procedures, workflows, and process knowledge clearly to support consistent and efficient operations. • Manage assigned daily activities effectively while maintaining accuracy and meeting established priorities and deadlines. • Protect, secure, and properly handle confidential participant, client, and business information, preventing unauthorized access, transmission, or disclosure. • Continuously develop knowledge and skills through available training and self-directed learning, particularly in areas that impact the wider operations function. • Demonstrate professionalism, integrity, quality, and respect in all interactions with colleagues, clients, and business partners. Requirements: • 2–6 years of office administration, financial operations, or related professional experience is preferred. • Previous experience in the US retirement services or 401(k) industry is an advantage. • MBA qualification is preferred, ideally with a Finance specialization or background. • Basic understanding of financial services, with an interest in developing knowledge of retirement plan administration and related operational processes. • Strong verbal and written communication skills, with the ability to communicate clearly and professionally with clients and internal stakeholders. • Strong attention to detail and accuracy when handling financial transactions and confidential information. • Good analytical and problem-solving abilities, with the ability to research issues and identify appropriate resolutions using established procedures and resources. • Ability to document procedures and workflows in a clear, structured, and easy-to-understand manner. • Strong time-management and organizational skills, with the ability to manage assigned workloads and work effectively within established schedules and priorities. • Ability to work independently while also contributing effectively to a collaborative team environment. • Proactive, adaptable, and willing to learn unfamiliar topics and processes that affect the broader department. • Basic Microsoft Office knowledge, with a preference for strong working knowledge of Microsoft Excel. • Ability to adapt quickly to changing assignments, priorities, and operational requirements. • Flexibility to work day or night shifts depending on business requirements. • For remote work arrangements, ability to maintain an uninterrupted, distraction-free workspace and appropriate family-care arrangements during working hours. • Reliable internet connection of at least 25 Mbps for individual use; a stronger connection may be required when multiple people share the same connection.
